Set up your school profile

School identity, time zone, locations, policies and coupons.

Everything here is under Settings. The tabs run along the top: General Identity, Locations, Policies & Agreements, Coupons & Discounts, Custom Fees, Gift Cards, Banking & Stripe, Security and Subscription.

General Identity

  • School Name: shown to parents everywhere, and at the start of every text message.
  • Address: your main address.
  • Company Name (Legal), Owner Name(s) and Tax ID: your business details for your own records.
  • Website URL, Facebook and Instagram links, logo and favicon links.
  • Support Email and Support Phone: parents are told to reach you here. They appear on your Terms and Privacy pages and in help messages. Fill these in before you take registrations.
  • Global Makeup Policy: how many makeup classes one student can have in a semester.
  • System Timezone: pick your own. Class times are shown as written (a 4:00 PM class is 4:00 PM), and the zone is named in reminders, for example "4:00 PM EDT". Reminders and receipts follow this setting.

Locations

Add each place classes happen. Choose Add New, enter the Location Name and Address and set its Status to active. Parents see the name and address in reminder emails (and the name in reminder texts).

Example

  • Location Name: Main Studio
  • Address: 123 Main Street, Springfield, VA 22150
  • Status: Active

Policies & Agreements

Waivers, photo releases, refund rules: anything a customer must read and accept. Add a Title and the Content. Tick Required for checkout? to make customers accept it before they can pay, and Active? to switch it on. Each accepted policy is recorded on the customer's Agreements tab.

Coupons & Discounts

Create a Code (customers type it at checkout) and choose the Discount Type (a percentage or a dollar amount) and Value. Optional limits: a Summary only you see, a Minimum Spend, a Usage Limit, start and end dates, and a specific customer.

Example

  • Code: EARLYBIRD
  • Discount Type: Percentage, Value: 10
  • Minimum Spend: 100
  • Usage Limit: 25
  • Ends: September 1

Custom Fees

Extra charges you can add to an order, such as a registration fee or a supply fee.

Gift Cards

Choose the amounts customers can buy (for example $25, $50 and $100). Customers buy them on your storefront; the buyer is emailed a code with a button to your portal, and you see each purchase in the Gift Cards list. A gift card code is entered at checkout.
